Preparing KYC Documents for Singapore Company Incorporation

Essential Information to Provide

To register a private limited company (Pte. Ltd.) in Singapore under ACRA regulations, clients only need to prepare and provide the following foundational company details and verification documents:

Valid Passport Sample, Photo Guidelines & Selfie Video

  1. Propose at least 2 intended company names

    Names can be in English or unaccented letters. VietCham will conduct a pre-clearance search on the ACRA BizFile+ registry.

  2. Intended business activities

    Provide a concise description of primary business activities or identify the relevant Singapore Standard Industrial Classification (SSIC) codes.

  3. Shareholding allocation for each shareholder

    Specify the percentage of share ownership for each individual shareholder (totaling exactly 100%).

  4. Active phone number & email address for all shareholders

    Phone numbers formatted with international country codes (e.g. +84-91-234-5678 or +65 8123 4567). Provide a primary email (e.g. name@example.com) for ACRA notices and PandaDoc e-signing.

  5. High-resolution photo or scan of each shareholder's passport

    Full double-page view, clear, uncropped, free of glare, with all details and the bottom MRZ machine-readable lines clearly legible.

  6. HD selfie video holding passport for each shareholder

    Record a 7–10 second HD video clip holding your open passport, ensuring both your face and the passport page are in sharp focus and easily readable.

Proof of Residential Address Requirements

Each shareholder must provide a high-resolution scan or photo of a proof of residential address in English or bilingual English – Vietnamese, explicitly stating their full legal name and complete residential address.

Accepted documents include: Official bank account confirmation letter or statement, postpaid mobile phone utility statement, residential electricity, water, or internet utility bill, or registered tenancy lease agreement. The document must be issued within the last 3 months from the date of submission.

Additionally, each shareholder must provide an HD selfie video of 7–10 seconds holding the proof of residential address document, ensuring all text and addresses are legible.

Personal Bank Account Statement (Capital Proof)

Bank account balance must be ≥ registered paid-up capital

For example: If the planned paid-up capital of your Singapore company is USD 1,000 (or SGD equivalent), the closing balance displayed on the personal bank statement must be at least USD 1,000.

How to Sign Documents on PandaDoc

A legally valid electronic signature must be an authentic, full-stroke handwritten signature identical to what you sign on commercial contracts, passports, or official government documents.

Do NOT sign by typing letters as plain text (for example, Nguyen Van A).

Shareholders should open the PandaDoc invitation email on a smartphone, tablet, or touchscreen device, select the Draw tab, and draw their signature directly on screen.

What documents are required for KYC when setting up a company in Singapore?

Why is an HD video selfie required alongside the passport and address proof?

Under Singapore's Corporate Service Providers Act 2024 and ACRA's Anti-Money Laundering and Countering the Financing of Terrorism (AML/CFT) guidelines, Registered Filing Agents (RFAs) must perform live identity verification (liveness check) to prevent identity theft and unauthorized incorporations.

What documents qualify as valid proof of residential address?

Accepted documents include bank account confirmation letters or statements, postpaid mobile phone utility bills, residential electricity, water, gas, or internet utility statements, or a registered tenancy lease agreement. The document must clearly show the individual's full legal name and complete residential address, be in English or bilingual English-Vietnamese, and be dated within the last 3 months.

Can I sign incorporation documents by typing my name in PandaDoc?

No. ACRA and Singapore legal standards strictly require an authentic, full-stroke handwritten signature matching your official signature on contracts and passports. In PandaDoc, you must select the 'Draw' tab on a smartphone, tablet, or touchscreen device and sign manually. Typed text signatures (e.g. computer cursive fonts) are not accepted.

What is the minimum bank balance required on the personal bank statement?

The closing balance reflected on your personal bank statement must be greater than or equal to your company's intended registered paid-up capital. For example, if you register your Singapore company with USD 1,000 (or equivalent in SGD/EUR), your personal bank statement must demonstrate an available balance of at least USD 1,000.
